Newbury Park Track Club
GENERAL INFORMATION

 


The Newbury Park Track Club (NPTC) is a non-profit and tax exempt organization involved in a youth recreational sports program in Track and Field.  The NPTC is the oldest continuously running (no pun intended) youth sport organization in the Conejo Valley.  The NPTC is currently an active member of the Ventura County Youth Track Conference, a non-profit, tax-exempt California corporation.
  This season, the other Clubs in our conference are:

Each season consists of 6 meets against one or more other Clubs in our conference.  At these meets, each age group competes against the same age group from the other Club(s).  Within each age group, there is a Varsity and Junior Varsity class to ensure fair competition amongst the athletes.  Each Club is organized into age groups determined by the year of birth.  Each group is also separated into a Boys and Girls division.

Each team is coached by at least one Coach.  With additional support from parents and community, Assistant Coaches and Specialty Coaches will be added to further build our teams' skills and enhance each athlete's abilities.  The NPTC ensures that all athletes compete fairly and equally.  All athletes are eligible to compete an equal amount, and all have an equal chance to earn first place awards.  One of the wonderful aspects of a Track Club is that each athlete competes on an individual basis, but enjoys the support and camaraderie of a team.  It is a chance to reach one's own individual best, while receiving coach and team encouragement.

HOW OUR CLUB IS FUNDED

Registration Fees
The major source of income for the Club is the registration fee each family pays. The Club has a discount structure for multiple athletes from one family, and provides scholarships (a waiver of fees) on a confidential basis for those who are unable to pay the registration fee.

Snack Bar at Home Meets
Profits from the Snack Bar at our hosted meets provide an important additional source of income for our Club. With these funds, the Club is able to offer the sport to its members without requiring any fundraisers. With 3 hosted meets, much needed revenues will be earned from our Snack Bar this year thanks to the efforts of many Club parents. Please support the Club by buying from the Snack Bar and working in it.

Tax Deductible Contributions
The NPTC can now accept tax-deductible contributions.  If you would like more information, please contact one of the Board Members.

How Income Is Used
Each dollar of revenue to the Club is used as follows:

.51 Uniforms
.21 Conference fees for insurance, awards and operating costs
.08 Supplies and other operating expenses (i.e., chalk, blanks, batons, printing, postage, etc.)
.08 Season awards for each member
.08 Team and individual photographs
.04 Facility use fees to District and Parks and Recreation Department

Refund Policy
The NPTC maintains a refund policy for those paid members who discontinue their membership.  This refund policy is based on expenditures (such as uniforms and insurance) that have already been paid.
   Refunds are made according to the following schedule:

Full Refund:         Up to March 10, 2008 (minus conference fee of $20.00)
No Refund:          After March 10, 2008

You may request your refund by calling the Records Officer.

INJURY & INSURANCE

All injuries or illness of Club members must be reported to your Coach each day.  The athlete’s practice and meet schedule may then be adjusted accordingly. Please Note: Secondary medical insurance is provided as a part of your Registration Fees.  There is a deductible you must meet and a maximum payment of $10,000 per incident.  See an NPTC Board Member for further information.

PARENT PARTICIPATION

In order for our Club, and especially the Track Meets, to run at all, we rely on our parents to help. These are the ways you, as a parent, can participate:

  • Be a Coach or Specialty Coach (We can and will train you)

  • Be elected as a Board Member

  • Attend Board meetings even if you are not a Board member

  • Offer your experience and expertise as you see it is needed

And most importantly, honor your commitment to work at the meets NPTC hosts.  The meets cannot be held without your help.
You will enjoy the season more if you get involved, and support your child and the sport of Track.

NPTC HOSTS TRACK MEETS

We will host at least 3 track meets this season.  This is beneficial for two reasons:

  • We make money on the Snack Shack, and

  • NPTC runs the fastest, most efficient track meets in the conference.

In order for your child to participate in our Club, NPTC requires parents to commit to helping for at least 3 half-day shifts (preferably 1 per hosted meet).  At registration, you sign up for these half-day shifts.  Each job is simple and easy to learn.  Usually there are experienced parents who are paired with newer volunteers to assist.  Our Club takes great pride in running a smooth, and efficient meet.  It takes the effort of all the parents to pull this off. Each meet requires 90-100 people to run.  The parents help by timing the runners, measuring the field events, organizing the athletes waiting to compete, organizing and distributing the ribbons, running the Snack Shack or preparing the track ahead of time.  There are a variety of needs, so find one you feel comfortable with, and one that we can count on you fulfilling.  Prior to each home meet, you will receive a reminder of your commitment.  If you are unable to meet your commitment, YOU MUST MAKE ALTERNATE ARRANGEMENTS with other parents.  Please do not call your Coach or a Board Member the night before a meet.

NPTC Encourages Parent Participation
Each family will be required to work the equivalent of a half-day shift at the meets we host.  A refundable deposit of $100.00 will be returned to the family if they have fulfilled all of their obligations to help.  If a family does not fulfill its entire obligation, the entire deposit is forfeited.  Instead of helping run the meets, a parent can volunteer to coordinate the Ribbons Table, Field Events, or Snack Shack, fulfill various administrative duties, or help with coaching.
